Why Zyden exists

I became a trustee the way a lot of people do — frustrated. The previous board had let things slide, maintenance was being neglected, and a group of us put our hands up with no real idea what the job involved. We had a managing agent and were frustrated with them too. So we jumped in: changed the security service, took on the problems nobody had touched, and I started trying to drag our processes out of the filing cabinet.

I began with Google Forms — anything to stop printing paperwork that ended up gathering dust in a storage unit. It helped, but every form still had to be chased by hand, and I spent my evenings watching an inbox for approvals.

The real gaps were the ones a spreadsheet couldn't close. We often didn't know a unit had changed hands until we were suddenly under pressure to approve a pet, add someone to the intercom, and confirm the tenant was even legal. Owners got blindsided when tenants left without notice or overstayed. On fines we were flying blind — unsure when one was justified, and with complaints scattered across messages, we couldn't even tell you how many we'd logged.

Then there was the WhatsApp group. A resident had started it, it turned ugly, and as trustees we had no standing to manage it and no control over who was in it. Setting up a proper one just created a new burden — chasing everyone to agree to how it should be run.

What I kept wishing for was simple: a body corporate should always know who lives in which unit, who has approval to do what, who's on the intercom — a record that stays current, so the next set of trustees inherit clarity instead of a storage unit full of dusty forms. That's what I built. Zyden is the system I needed and couldn't find.
